For HVAC companies

Their AC is out, your phone goes to voicemail, and the next company gets the job.

Cronveo can fix that. Calls get answered and quotes get a follow-up, even when you’re on a job.

Common signs

The work is there, but the handoffs aren’t.

01

The phone rings after hours, and everyone’s on a job.

A broken-AC call goes to voicemail, and the caller tries the next company on the list.

02

The estimate is ready, but nobody owns the follow-up.

A replacement quote sits until the tech is back in the office.

03

Dispatch lives in your head.

Who goes where tomorrow depends on you remembering who promised what.

04

Maintenance agreements renew only when someone notices.

The tune-up list sits in a spreadsheet nobody opens.

05

Techs keep calling you with the same questions.

They wait on approvals that clear rules could give them.

06

The lead gets lost between the phone and the truck.

Whoever takes the call works in one place, and the tech works in another. Nobody owns the handoff.

The cost of being the connection

Every handoff becomes another job for you.

Callbacks slow down. Customers chase the estimate. Techs wait on decisions while you switch between the board, the phone, and the supply house.

Adding more calls adds more work to the same queue. The first fix is to make it clear who owns each next step. Count last month’s calls that went to voicemail. If one was a replacement job, that job is what the missed call cost you.

How it works

Fix the process first,
then speed it up.

If the process is messy, automation makes the mess faster. So we fix the process first.

01

Audit

Map how work moves today. Find the delays, repeated effort, and decisions that depend on you.

YOU GETWhere calls, quotes, and tune-ups wait on you
02

Systemize

Simplify the steps. Give each handoff an owner and each routine decision a clear rule.

YOU GETWho answers an after-hours call, and what they can book without you
03

Automate

Take repetition off the team’s plate once the process is stable. Keep people in charge of exceptions.

YOU GETEach tune-up reminder sent when it’s due

Step 1 is the Operations Audit. The roadmap lands five business days after Charles has your data. Your team can do steps 2 and 3 from the roadmap, or we quote them after the audit.

Bottlenecks, ranked

A list in order of importance, with what each problem costs and why it’s ranked where it is.

Specific fixes, in sequence

A fix for each problem, how much work it takes, and clear next steps.

Where automation fits

What’s worth automating, what needs a simpler process, and what a person should keep doing.

Three bottlenecks,
in the order to fix them.

HVAC service workflow

01
After-hours calls go to voicemail

Set who answers a call after hours, and what they can book without you.

02
Replacement quotes have no owner

Give every estimate an owner and a follow-up date.

03
Tune-ups wait for someone to notice

Once the steps are set, remind each maintenance customer when a tune-up is due.

What clients say

Charles redesigned our lead intake process and helped eliminate one of the biggest bottlenecks in our business. We can now handle roughly 10X the lead volume we could previously.
Mark L., Absolute Properties

Only after the audit

Build what the findings call for.

Sometimes the answer is a clearer handoff or better use of an existing tool. When a build is needed, we scope and quote it separately.

Capture and follow-up

If new calls are where things get stuck, an AI receptionist or a simpler process can help. It can answer the after-hours call, book the visit, and send unusual calls to a person.

CRM and sequences

If estimates and maintenance agreements lose their next step, set up stages, owners, and follow-up. Fit them to the process your office will use.

Website

If the front door is unclear, build a website that books the visit and sends each lead to the right person.

Who it’s for

For the owner who wants
the work to move without them.

We’re likely a fit if…

  • You run a few trucks, and calls, quotes, and dispatch still wait on you.
  • You can name recurring work that costs time or loses revenue.
  • Routine decisions and processes still depend on you.
  • You’re willing to fix the process before you automate it.

A different partner may suit you if…

  • You don’t have sales yet, or you want a marketing agency.
  • You want software installed without changing the process.
  • You only care about the lowest price to build it.
  • You want software to make every decision for you.

Before we talk

Common questions

What changes for my office first?

The fix for your costliest problem. If it’s a rule, like who answers a call after hours, your office can use it the same day.

How is this different from a marketing agency?

The audit comes first, and it decides what gets built, if anything. It has one fixed fee and no monthly contract. You keep the written roadmap whether or not you hire us.

What does the Operations Audit produce?

A written map of how your business runs, a ranked list of what slows it down and what each problem costs, and a fix for each one. You also learn how much work each fix takes, what order to do them in, and what’s worth automating. Then we walk through it together on a call.

How long does the audit take?

Five business days from the day Charles has your data. The paid audit includes a 90-minute discovery session. That’s separate from the free 20-minute call where we decide if an audit makes sense.

What do you need from me to start?

We need some basic information about how your business runs. We also want to hear what takes up your time.

Can you work with the software we already use?

Yes, where it fits. The audit looks at the tools your office already uses, your scheduling and dispatch software included. We don’t take vendor referral fees or resell software.

Do I have to hire Cronveo to build the fixes?

No. The roadmap is yours to use with your own team, another company, or Cronveo. If you want us to build the fixes, we quote that separately after the audit.

Do I have to buy the AI receptionist?

No. It’s one possible fix. If calls aren’t what’s slowing you down, the audit will focus on what is.

What happens on the discovery call?

In about 20 minutes, you walk Charles through one job, from the first call to getting paid, and where you still get pulled in. You don’t need to prepare anything. Charles helps figure out if there’s a real problem to solve, and tells you if an audit isn’t the right next step. You don’t have to go any further.

How much does it cost?

The discovery call is free. The audit has one fixed fee, agreed before work starts, and there’s no monthly contract.

A shop that depends less on you

Find out where the call gets stuck.

Twenty minutes. Walk Charles through a call, a quote, or a handoff that keeps coming back to you. Together, decide whether an audit is the right next step.
